Advancement Services and Database Coordinator
Reports to: Director of Annual Giving and Donor Relations
Liaises with: Director of Old Girl Relations and Alumnae Programs
Associate Director of Donor Relations and Communications
The Major Gifts Team
Summary of Position:
The Advancement Services and Database Coordinator assists in the coordination of all Annual Fund activities, is responsible for timely gift processing and acknowledgements, produces quarterly financial reports and effectiveness measurement results, and is responsible for cleanliness, accuracy, efficiency and integrity of the BSS database.
Specific Accountabilities Include:
- Coordinate all gift processing and acknowledgements including the timeliness and accuracy of regular financial reporting, including all data entry, batch preparation, commitment, accuracy, filing, coding and receipting, and acknowledgement letters.
- Oversee data integrity of the Foundation’s gift processing financial record keeping in RE in preparation for financial statements and the annual year-end audit
- Generate queries and reports using Raiser’s Edge, Crystal Reports, Excel, Access or other applications
- Execute the monthly processes and procedures associated with the pledge fulfillment schedule, including reminder letters and overdue procedures
- Manage the day-to-day database accuracy, updates ‘found’ data on constituents; codes all returned mail and manages the process
- Maintain ongoing clean-up and creation of queries, data pulls and reports.
- Assist with planning and implementation of prospect management research procedures
- Handle direct mail data segmentation and data pulls
- Create appeal and campaign codes for all effectiveness measures, including fiscal achievement, relationship improvement counts and net contribution measures
- Share responsibility with Admin and Research Assistant for creating, editing and maintaining the department’s paper filing systems
- Develop/maintain web-based services interfaces for serving Alumnae online (Net Community)
- Ensure the integrity of data is maintained, including back-ups, setting up user access, software upgrades, licensing and duplicate record checks
- Lead the coordination of prospect research profiles for endowment and major gifts fundraising
- Provide Raiser’s Edge training and support to other staff
- Assist with evening & weekend work, plus support Reunion Weekend
- Attend and support Advancement Special Events and other duties as assigned.
Skills & Experience & Attributes:
- Successful completion of a community college program in IT, Fundraising, Marketing or related field with an affinity for numbers, databases and processing volumes of repetitive or similar information
- Minimum 3 years experience in a customer service/fundraising environment
- Proven ability to work quickly, efficiently, accurately
- Ability to meet deadlines
- Must be detail-oriented and able to prioritize work flow
- Strong interpersonal communications (verbal and written) skills
- Exceptional computer skills in Microsoft Office (Word, Excel), Raisers Edge
- Database expertise, preferably RE strength
- Strong proactive team player, flexible and self-motivating
- Ability to work independently and manage a variety of tasks concurrently
- Understanding of, and experience with, accounting
- Sound judgment
