Advancement Coordinator

Reports to: Director of Advancement

Location: Waterloo, Ontario

Reporting to the Director of Advancement, this role will add to SHAD’s success by building our fundraising and alumni capacity.

Key position roles:

Prospect Research

  • Produce in-depth, well-written reports on prospects based on a combination of data from the Raisers Edge database, available financial records, real estate ownership, and other markers of high quality donors

  • Prepare prospect briefings


Fund Development

  • Maintain integrity of donor and prospect data in Raisers Edge database

  • Track gifts and required actions related to fundraising and relationship building

  • Lead the annual giving program, including alumni, parent and school district campaigns, to raise funds and identify Major Gift prospects

  • Assist with preparing donor and prospect materials including proposals and reports

  • Support excellent donor relationships through timely gift processing, invoicing, receipting, communications, and stewardship


Alumni and Donor Engagement

  • Collect and maintain integrity of alumni data in Raisers Edge database

  • Coordinate events such as open houses and alumni/donor gatherings, to showcase the SHAD brand and keep alumni and donors connected to SHAD

  • Liaise with SHAD programs to involve donors and alumni in program delivery

  • Support key SHAD events such as fundraising receptions, VIP visits to programs and media/communication events, to maximize donor and prospect involvement

  • Communicate opportunities such as scholarships, awards, and complementary programs to alumni

  • Coordinate preparation and delivery of Welcome Packages for current year participants and parents



  • Manage and grow SHAD’s internship programs, to create connections to donors and prospects, and help alumni build their resumes, skills and networks

  • Build on existing, and initiate new partnerships with employers to develop opportunities for experiential learning across Canada and beyond (including virtual opportunities for youth in remote/rural locations)

  • Maintain integrity of Education Edge database to track progress of placements

  • Assist in producing effective promotional materials for internship initiatives


Our ideal candidate will have:

  • Passion for, and demonstrated experience in, development and alumni relations

  • Solid experience with Raiser’s Edge software

  • Exceptional time management, task prioritization and decision-making skills

  • Maturity and empathy, and experience working with sensitive and confidential information

  • Experience working independently in a fast-paced, team-oriented entrepreneurial environment, effectively managing complex competing priorities while maintaining a high degree of accuracy, quality of work, and attention to detail

  • Strong technical skills related to data management, and ability to manage complex detailed work

  • Proven ability to be proactive and highly resourceful

  • Ability to foster positive relations and manage a range of relationships

  • A positive, professional, courteous and congenial attitude

  • 3-5 years experience

  • Desire to progress in the Advancement profession by securing or maintaining the CRFRE designation


    This is a full-time permanent role based at SHAD’s office in Waterloo, Ontario.  SHAD encourages work-life balance, and there are certain times of the year where all hands are on deck and opportunities for vacation may be limited. This includes the month of July when SHAD programs are underway, and the lead up to certain key events.
