Job Description

The Toronto General & Western Hospital Foundation raises funds for research, education and the enhancement of patient care at Toronto General Hospital and Toronto Western Hospital as well as their respective research arms, Krembil Research Institute and Toronto General Hospital Research Institute. The Hospitals and the Research Institutes are members of University Health Network, which also includes Princess Margaret Cancer Centre, the Toronto Rehab Institute, and The Michener Institute. The Stewardship Department’s mandate is to drive the stewardship activities of the Foundation, while also working with each and every department to integrate stewardship efforts into all programs. Our Stewardship Program is based around two main elements: Transparency, Accountability and Recognition.

Transparency and Accountability are concerned with providing any and all information to the donors – and all stakeholders – about how their support has been put to use – the fact that it has been used in the way in which the donor intended, and in the most efficient and effective way possible. We do this through documentation such as acknowledgement letters, stewardship reports, and other publications. In addition, we demonstrate our accountability through events in which we show live and in person the work that is being done, and also via testimony of physicians, surgeons, clinicians, researchers, Chair holders, Professorship holders, and other fund holders – those who put the moneys to use.

Recognition is the other main component of our stewardship activities – recognizing and honouring donors for their generosity, making them feel good and proud about what they have done, and encouraging them to do more. While recognition serves a donor need, it helps us as well… by lending their name – often a prestigious, well known and respected name – they are giving credibility to our hospitals and programs and encouraging others to do the same.

 

Toronto General & Western Hospital Foundation is currently seeking a Stewardship Officer

Reporting to the Director, Stewardship, the Stewardship Officer is responsible for fulfilling the Foundation’s mandate for accountability and transparency, and for recognizing donors for their generosity. The Stewardship Officer will communicate directly with hospital personnel, representatives from various UHN departments, donors, volunteers, suppliers and other individuals in order to further the goals of the Foundation. The Stewardship Officer is responsible for a number of initiatives, including but not limited to the following:

1.   Manage and track annual reporting deliverables

  • Manage the process and system to record, track, update, and maintain reporting deliverables for gifts $100,000+
  • Ensure donor intentions in agreements are honored in terms of reporting frequency and deliverables, working with the Major Gifts team
  • Coordinate monthly update meetings with the Major Gifts team and writers, and update teams as required
  • Ensure reporting notes are up-to-date in Raiser’s Edge, and completed reports are uploaded
  • Provide background information from gift agreements and financials to the writers as required in support of the development of reports
  • Generate stats as required for audits
  • Review and assess the efficiency of the process. Make recommendations and implement

2.   Thank You Campaign / Billion Dollar Campaign Wrap-Up

  • Ensure the Board, physicians, and society members of Partners for Discovery,
  • Innovators Circle, R. Fraser Elliott, and Senate are included in stewardship meetings as appropriate working with the Major Gifts team
  • Suggest available/pending stewardship collateral to be presented at the meetings
  • Board Thank-a-thon
  • Strategize, research, create briefing notes, etc. as required
  • Ensure all donor interactions and campaign activity are tracked in Raiser’s Edge
  • Perform other duties as assigned to meet overall goals and objectives

3.   Individualized Stewardship Plans

  • Conduct research to identify potential donors to reengage
  • Work in close partnership with the Major Gifts team to strategize, plan, and suggest options for collateral
  • Oversee the execution of the touchpoint, i.e. mailings, meetings, or events, with the goal to acquire, renew, reengage, and upgrade donors, and to improve donor engagement over time
  • Ensure all donor interactions are tracked accurately in Raiser’s Edge

4.   Assist the Director, Stewardship with Special Projects

  • Assist in the coordination, implementation, and completion of projects assigned by the Director, Stewardship. Tasks include, but are not limited to:
  • Assist in planning by helping to define project scope, goals, deliverables, and perform research as required
  • Assist in the development of budgets
  • Create schedules and project timelines
  • Assist in the implementation of projects working with internal/external staff, stakeholders, and vendors
  • Track project deliverables and progress
  • Perform other duties as assigned to meet overall goals and objectives

 

JOB REQUIREMENTS

  • University degree or equivalent
  • Minimum 4 years related experience in non-profit fundraising
  • Knowledge of stewardship and donor relations procedures and policies an asset
  • Hospital Foundation experience an asset
  • Extensive knowledge of Raiser’s Edge
  • Excellent communication and interpersonal skills, tact, diplomacy, discretion, sensitivity and demonstrated professionalism
  • Excellent organizational and administrative skills
  • Results-oriented and able to meet deadlines
  • Set priorities, balance the demands of multiple tasks and meet deadlines
  • Meticulous attention to detail, strong analytical skills
  • Demonstrate initiative, think strategically and problem solve
  • Ability to assess political sensitivities in the UHN environment
  • All work in the program requires an exceptionally high level of attention and accuracy.
  • Confidentiality must be maintained at all times
  • Demonstrated ability to work collaboratively as part of a team or independently with minimum supervision
