About Royal LePage Shelter Foundation:

Royal LePage Shelter Foundation is a national, public foundation dedicated exclusively to supporting women’s shelters and domestic violence prevention programs. Royal LePage real estate offices across Canada are matched with a women’s shelter in their community and agents and staff organize fundraising events in support of their shelter partner. Agents also make donations from their sales commissions. Other fundraising and cause-marketing initiatives are organized by the foundation on a national basis. Royal LePage Canada covers the operating costs for the foundation so one hundred per cent of funds raised go to the cause.

 

The Role:

We are seeking a Donations Processing Coordinator (14-month contract) to oversee all revenue processing, donor data entry, and issuing of donation cheques to qualified donees. You'll be a key member of a small, dynamic team focused on third party events, individual giving, national events, peer-to-peer fundraising and cause marketing. In this role, you will be responsible for: 

 

Donations Processing:

  • Ensure all incoming donations are processed accurately and in a timely manner within agreed upon organizational standards
  • Enter data accurately and completely into donor database (eTapestry)  
  • Assign donor designation to agent profiles on Royal LePage national website 
  • Acknowledge all new "Commission Donors" through welcome email and other correspondence

 

Finance and Reporting:

  • Prepare cheques for bank deposits
  • Work with Finance staff to ensure deposits are conducted on a regular basis and to review bank statements as required for data entry purposes
  • Prepare cheque requests for donations to qualified donees (i.e. charity partners) according to accounts payable procedures
  • Send donation cheques to charities or Royal LePage offices
  • Ensure accuracy of database records prior to issuing tax receipts
  • Provide support to Finance re. quarterly statements and annual audit

 

Administrative Support:

  • Maintain and refine electronic and hard copy filing systems, including the master spreadsheet of approved charities, and ensure files are kept current
  • Prepare qualified donees report for Board meetings and other meeting support as needed
  • Write “in memory” and “in honour” donation acknowledgement letters
  • Perform general administrative and event support duties as needed

 

Other Duties:

  • Participate actively as a member of the Royal LePage Shelter Foundation team and understand and act in accordance with organizational values and professional fundraising standards 
  • Other duties as assigned by the Executive Director and/or Treasurer

 

Knowledge/Skills/Experience required:

  • College diploma or university degree related to the position
  • Minimum three years’ proven success in a similar role in a charitable organization  
  • Proficiency in donor database systems (e.g. eTapestry, Raiser’s Edge) and Microsoft Office programs
  • Working knowledge of peer-to-peer fundraising tools, Adobe Acrobat and Google Suite (e.g. Drive, Docs, Sheets, Forms)
  • Experience with financial reporting would be an asset
  • Excellent written and verbal communication skills (French would be an asset)
  • Superior interpersonal skills and customer-service orientation
  • Detail oriented and self-directed
  • Strong organizational and time-management skills
  • Ability to work both independently and as a member of a team in a high volume, professional environment, managing multiple priorities
