Providence Healthcare Foundation, through its philanthropic activities, assists Providence Healthcare in attracting the resources required to fulfill and enhance its mission. Funds will be used to support priority areas as defined by the Network and includes the purchase of equipment, renovations, new facilities, programs, and education priorities. POSITION SUMMARY:

The Major Gift Assistant provides administrative support to the Director, Major & Planned Gifts and the Leadership Giving Manager. S/he will primarily provide administrative and communication support for three essential fundraising initiatives - campaign/major gifts, planned giving and sponsorship. Primary responsibilities include (but are not limited to) scheduling meetings with donor prospects or Committees, creating presentations, donor research, solicitation letters, proposals, meeting documentation and action lists resulting from meetings. This position will have responsibility to track and file all reports and actions in Raiser’s Edge, and ensure follow-up in a timely manner. This position will also have a focus on supporting the major gift and planning giving strategies, and thus requires effective and persuasive written communications skills and the ability to handle a large volume of writing tasks, with a creative flair.

 

MAJOR RESPONSIBILITES:

  • Assists the Director, Major & Planned Gifts and Leadership Giving Manager with developing major gift proposals, presentations, letters/emails, communications and reports for various internal and external committees, seminars, donor meetings, completing Raiser’s Edge forms and action notes, as required;

  • Prepares gift tracking spreadsheets, expense reports and cheque requisitions for processing;

  • Compiles and tracks Donor lists, both prospect and confirmed, in Raiser’s Edge;

  • Provides timely follow-up for all pledges due, to ensure we maintain a 100% pledge fulfillment ration for all major gift pledges;

  • Provides Planned Giving administrative support as required including:

    • Processing stock trades

    • Monitoring stock transfers

    • Will/bequest filings

  • Arranges and prepares back-up materials and action notes from Committee meetings, as required;

  • Prepares meeting agendas and back-up materials and tracks outstanding issues resulting from meetings, all significant decisions and follow up items;

  • Acts as the ‘Recording Secretary’ as required, involving:

    • Drafting agendas and correspondence

    • Taking and distributing ‘action lists’ for the Committee

    • Keeping track of outstanding issues for follow-up with staff and/or Committee Members

  • Collects and submits all required major gift updates for web-site on a monthly basis and updates site with the final sign off from the Director, Major & Planned Gifts, and Annual Fund Specialist;

  • Prepares Research Briefs for all identified donor prospects (researching and creating report within template guidelines);

  • Monitors regularly and ensures all donor/sponsor recognition promises are kept and fully completed, as per donor gift agreements;

  • Organizes and tracks actions and donor commitments in Raiser’s Edge;

  • Reviews the Foundation website recognition listings on a quarterly basis and ensures all major and planned giving donor recognition is updated in a relevant and timely manner.

 

QUALIFICATIONS/SKILLS REQUIRED:

  • Community College diploma in communications or recognized equivalent;

  • One (1) to Three (3) year’s experience working in a not for profit organization or in a position where data entry or administrative experience has be acquired;

  • Proficiency in Blackbaud’s The Raiser’s Edge data entry applications and report generation an asset;

  • Strong written communication skills, with the ability to be persuasive and inspiring in all contact points required;

  • Strong computer literacy - MS Office Suite e.g., Word, Power Point, Excel required, with knowledge of MS Publisher an asset;

  • Superb attention to detail, analytical skills and sound judgment;

  • Demonstrated organizational skills, in a multi-tasking environment;

  • Pleasant telephone manner and strong inter-personal skills;

  • Ability to work in a team environment;

  • Ability to cope in a busy office environment;

  • Ability to be flexible to work occasional evenings and/or weekends as required;

  • Ability to handle people with sensitivity, confidentiality, tact and diplomacy;

  • Ability to utilizes initiative, self-direction and the ability to work with minimal supervision;

  • Exposure to the non-profit sector and/or data entry processes an asset;

  • Very good attendance record;

  • Good performance record.
