Job Description

Reporting to the Director Strategic Events and working across the organization, the Community Events Manager will be responsible for all facets of event planning and coordination of UJA’s peer to peer fundraising event and community festival in addition to coordinating other UJA Federation’s Annual Campaign fundraising, stewardship and community engagement events.

Community Event (35%)

  • Ability to coordinate all aspects of a 20,000 attendee walk event including but not limited to: 
  • Staff weekly organizational meetings and provide updates as required 
  • Budget Management and Vendor Acquisition
  • Route management – secure proper vendors for coning, traffic flow, permits etc. parking plan, EMS Security/Police, Special Event Permits as required
  • Event Layout – routes, staging, entertainment areas, registration, kit pick-up 
  • Prepare timed agenda/script of event
  • Update marketing team with day of schedules for electronic communication and web site
  • Coordinate A/V where needed, sound check
  • Participant experience – refreshments, rest rooms, signage, incentives
  • Stage Management 
  • Prepare briefing packages for all key stakeholders
  • Volunteer Coordination and Orientation 
  • Coordinate Staff Schedule 
  • Day of event execution and troubleshooting
  • Post event review and evaluation workshop coordination

Community Festival (35%) 

  • Lead the Festival planning process 
  • Lead Festival activation planning and execution by partnering with brands, retailers, etc.
  • Manage external third-party production companies (e.g. for main stages) including electrical technicians 
  • Lead negotiations and contract process with Festival vendors  
  • Manage the Festival on-site the day of the event 
  • Map out the Festival and locations of stages, food vendors and activations 
  • Secure kosher restaurants, caterers, bakeries and other food 
  • Secure stage entertainment and develop a schedule of stage events 
  • Secure Midway rides and games 
  • Coordinate delivery, set-up and strike schedules for all Festival infrastructure activation
  • Provide internal weekly status updates 

Annual Campaign Event Management (30%) 

  • Work with fundraising team to create and support events that inspire and delight 
  • Developing and scheduling event logistics
  • Preparing and adhering to budgets
  • Liaising, negotiating and booking with caterers, florists, hotels and suppliers etc.
  • Booking speakers and managing itineraries
  • Coordinate A/V as needed 
  • On-site event management 
  • Vendor payment 
  • Ensure day of event is executed with excellence 
  • Interfacing with Event Chairs and Community Leaders 
  • Post event support and logistics, as needed 

QUALIFICATIONS:

  • Experience organizing large-scale community events and budgets 
  • Completion of a post-secondary degree or diploma program
  • Skilled in project management
  • Ability to work in a fast-paced environment and manage competing priorities
  • Experience working with the public
  • Excellent interpersonal, organizational and communication skills
  • Ability to multi-task and set priorities
  • Ability to work under pressure, make decisions and solve complex problems 
  • Ability to work independently and as a member of a team
  • Customer-service orientation

ASSETS:
Experience in a non-profit environment
Experience with Salesforce or similar business command centre/CRM 

CLASSIFICATION: Union Level 8. Full-time, permanent position. Excellent compensation and benefits.
