Job Description

Position Summary:

ErinoakKids is currently seeking a dynamic proactive individual to join our team who is passionate about fundraising and the opportunity to support community engagement efforts for key fundraising priorities at ErinoakKids.  Reporting to the Director, Philanthropy, and supporting the Manager, Major Gifts and Senior Events Officer, the Philanthropy Coordinator will act as an integral member of the Fundraising Team.  The Philanthropy Coordinator supports and provides high-level administrative support for major gifts, community events, and annual giving initiatives, which includes a high degree of comfort to actively engage with donors, families, and staff members.  The Philanthropy Coordinator will also maintain and update the Raiser’s Edge database, as directed by the senior fundraisers, to support fundraising efforts.

 

Major Responsibilities:

Fundraising and Events

  • Assist and steward digital fundraising, tribute (in memoriam and in honour), and monthly giving programs;
  • Assist the Senior Events Officer to support donors/community groups with the on—line Peer-to-Peer community fundraising product;
  • Assist the Senior Events Officer to identify and strategize opportunities for acquiring new community events and event sponsors;
  • Assist Manager, Major Gifts in grant and donor research and tracking;
  • Assist the fundraising team by preparing meeting materials and delivering products as directed;
  • Assist the senior fundraisers with the planning and execution of all community, donor cultivation and stewardship events, including RSVPs, setup, delivery, and take down when needed;
  • Assist the senior fundraisers with the recognition of all funders through vehicles such as the donor wall, annual report listings, website listings and others, ensuring that all donors are correctly listed;
  • Assist as directed by the senior fundraisers with the draft preparation of proposals, grant submissions, stewardship reports, thank you letters, and general correspondence for all donors; 

 

Administration

  • Process all donations as directed by the senior fundraisers in Raiser’s Edge: prepare and issue tax receipts and generate acknowledgments and thank you letters;
  • Assist with monthly financial reconciliations and prepare batches for entry into General Ledger;
  • Support the Director with the draft preparation of information for auditors and the charity tax return;
  • Track moves management, proposals, campaigns, and stewardship information as directed by the senior fundraisers;
  • As requested by the Director, produce mailing lists for direct marketing initiatives and a range of reports for internal and external use;
  • Support fundraising activities by providing analytic reports for senior fundraisers to gain insights on donation trends, donor history, donor demographics, appropriate segmentation, and opportunities for larger gifts;
  • Maintain the donor database; ensure accuracy of donor information in database and files and produces regular reports through Raiser’s Edge software and/or Excel;
  • Support the Director’s fundraising operational procedures and processes. Includes database entry, deposits of monies, tax receipting, processing of charges and security of all, liaising with accounting as required.
  • Provide high level administrative support to the Fundraising Team including filing, copying, sorting, mailing, etc.;
  • Maintain a master calendar for all events and initiatives for Fundraising Team;
  • Perform other duties as assigned.

 

 Qualifications

  • Degree or diploma in fundraising management or equivalent work experience required;
  • 1+ years of experience in fundraising;
  • Exceptional interpersonal and public relations skills to interface with donors, sponsors, ErinoakKids families, volunteers, Board of Directors, senior leadership, and staff;
  • Strong proficiency in Raiser’s Edge, MS Excel, Word, and PowerPoint;
  • Experience working with content management systems (CMS) and on-line giving platforms
    • (i.e. donation portals, Peer-to-Peer, event ticketing, etc.);
  • Well-developed administrative, analytical and time management skills, a high level of initiative and ability to work independently, as well as working effectively in a small collaborative fundraising team environment;
  •   Exceptional detail-orientation and written and verbal communications skills;
  • Interest and desire to learn how to become an impactful development professional;
  • Must be available to work periodic evening and weekend hours;
  • A valid Ontario driver’s license is required as well as access to a personal vehicle.
