Coordinator, Media & Data Services

Working exclusively with Canadian and international non-profit organizations, you and your teammates will contribute to the day-to-day list and data coordination for Stephen Thomas. Your role is to contribute to the success of the Media & Data Services department through administrative tasks, quality control, customer service and results reporting.

You will team up with your Media and Data Services Director to provide flawless day-to-day coordination of lists and data for your clients. By working efficiently and productively, you will contribute to a positive team environment.

Core Responsibilities:

  • Coordinate and record the list ordering and data shop process including status of orders and data shipment
  • Oversee the brokerage and in- house list database and ensure it is up to date and accurate
  • Prepare invoices
  • Maintain positive relationships with outside vendors
  • Coordinate the request process for incoming lists and status of orders
  • Ensure lists are delivered on time
  • Prepare and send out requests for trade file updates as scheduled
  • Organize and maintain internal and external client files
  • Work with team members to execute on-demand results analysis for direct mail campaigns
  • Act as a backup for senior data analyst and maintain data recordkeeping
  • Assist with sales outreach for Media & Data Services

Education & Experience:

  • University or college degree in related field; Business, Marketing, Commerce
  • 1 to 3 years’ experience in the list and data field or sales support


  • High proficiency in Microsoft Excel
  • Experience with database software
  • Organized and able to handle multiple projects and meet tight deadlines
  • Strong client service orientation
  • Strong interpersonal communication skills
  • Experience with file and record management
  • Analytical and problem solving capability
  • Detail oriented
  • Sales outreach experience
  • Ability to work independently but also with a team
  • Demonstrated commitment to the not-for-profit sector
