Associate Director of Advancement, Athletics & Recreation, Department of Athletics & Recreation

Reporting to the Executive Director, University-Wide Development, with joint accountability to the Executive Director, Athletics & Recreation, the incumbent is responsible for the leadership, coordination, promotion, and operation of the university’s Athletics & Recreation (A&R) Advancement programs including alumni engagement and annual giving strategies. The incumbent works closely with Central Development and A&R staff, coaches and teams, senior university officials and senior volunteers regarding their involvement in philanthropic and engagement programs for A&R. This includes developing, leading and executing a comprehensive alumni engagement plan including young alumni groups, volunteer recognition, stewardship plans, events, communications and other activities. Additionally, the incumbent will create and implement an innovative Leadership Annual Giving (LAG) program designed to strengthen alumni and donor engagement, increase philanthropic revenue, and enhance pipeline development through the transition of LAG donors (below $24,999) to the Major Gift (MG) level ($25,000 +).

The Associate Director of Advancement manages a diverse portfolio of strategic relationships consisting of individuals, corporations and foundations, as well as working with relationship managers across the university to advance and promote A&R fundraising priorities. As a member of the A&R Senior Management Team, the incumbent is a recognized leader in the department, providing high level Advancement expertise and strategic direction to the Executive Director and other A&R staff, central and faculty development, volunteers, as well as senior university administrators. This includes providing guidance and managing the Advancement A&R team. 

This position requires extensive travel within and outside Canada.Work on evenings and weekends is also often required.


As the Associate Director of Advancement, Athletics & Recreation you will:

Strategic Planning & Program Management

  • In consultation with the Executive Directors, develops and manages A&R alumni engagement, annual giving, and alumni events, communications and programs that result in the highest level of engagement and philanthropic support from donors.
  • In consultation with the Executive Directors, develops and implements multi-year strategic and integrated fundraising and engagement plans for A&R based on reliable internal and external data analysis. Establishes fundraising targets, prospect strategies, and go-to-market Advancement programs, within deadlines. Executes the plan and negotiates as required to accomplish priorities and objectives.
  • Analyzes data and prepares reports required to formulate, execute, evaluate and benchmark strategic and priority driven implementation plans.  Reports on findings and implements changes in strategy as required.
  • Meets with the Executive Directors and A&R staff on a regular basis to review progress against short and long-term goals and prospect strategy development.  In consideration of progress to date, takes a lead role in identifying and implementing further opportunities and strategies that may have arisen to meet goals. 
  • In collaboration with Advancement and A&R Marketing, Communications and Events teams, develops and implements comprehensive and integrated marketing and communication strategies that drive philanthropic investment into the A&R unit.
  • Works with other A&R Advancement staff to develop and deliver training sessions for varsity club coaches and team leaders on fundraising for their clubs.

Fund Development & Alumni Engagement/Stewardship

  • Develops strategies, identifies, evaluates, cultivates, solicits, stewards and personally manages a portfolio of critical donors and prospects, with a primary focus on MG and LAG.
  • Executes and manages an innovative LAG program in order to acquire and upgrade gifts up to $24,999.
  • Identifies and develops strategies to transition LAG donors into MG donors at the $25,000 + level in support of A&R fundraising priorities.
  • Gathers information, coordinates and provides strategic fundraising leadership in the development and implementation of tailored gift proposals, case statements, research profiles, call briefings, gift agreements, stewardship reports, activity reports, accountability reports and face-to-face solicitations with staff, coaches and teams.
  • In consultation with the university-wide Annual Giving team, leads the development of mass appeals unique to A&R.
  • In collaboration with the university-wide Annual Giving team, develops the strategy and execution of the reunion-giving program, including the preparation of annual fund and reunion giving solicitation and acknowledgement materials. Creates a concept of mini campaigns, which will help structure activities for team giving programs between reunion years.
  • In collaboration with Donor Relations, establishes timely and appropriate stewardship plans, ensuring gifts are handled and recognized according to sound Advancement practices.
  • Works with the Executive Director, A&R to develop visionary, impact-driven fundraising priorities which may support MG and PG fundraising.
  • Oversees the cultivation and management of all volunteer fundraising groups and ensures that all call reports, notes, and evidence of donor interactions are accurately recorded in the database.
  • Develops and maintains an in-depth knowledge of A&R / university activities, funding priorities and needs. Applies this knowledge in matching the interests and needs of prospective donors with the strategic needs of the university.
  • Actively engages with other staff members in A&R/the Office of Advancement to coordinate supporting activities including expertise related to the management of prospects, and to stay abreast of any relevant developments and/or legislation that may assist in maximizing philanthropic revenue.

Team Leadership

  • Promotes a culture of inclusion that embodies Advancement and A&R values, with a commitment to the university’s equity, diversity, accessibility, and inclusion initiatives designed to foster an inclusive, supportive, and welcoming work environment for individuals with diverse backgrounds and identities.
  • Provides budget oversight and staffing leadership for the Advancement A&R Unit; participates in budget submission activities including analyzing data, developing and preparing annual budget documents.
  • Meets with staff on a regular basis to review progress against annual goals and pipeline strategy development. In consideration of progress to date, takes a lead role in identifying and implementing further opportunities and strategies that may have arisen to ensure goals will be met.
  • Plans, prioritizes and manages the work of employees, providing strategic and tactical advice, support, guidance and coaching.  Identifies the need for staff resources, participates on staffing committees, and makes effective recommendations regarding employee selection. 
  • Manages performance by establishing performance standards, reviewing and evaluating performance on an ongoing basis, conducting talent reviews and formal performance reviews.
  • Assesses staff training and development needs and ensures that employees receive training required to improve and sustain successful performance. 
  • Investigates, addresses and resolves employee/labour relations issues, including making decisions regarding disciplinary and discharge matters.
  • Continually evaluates the Return on Investment (ROI) and prioritization of multiple competing priorities, to ensure that resources are aligned in areas that are most impactful to the A&R Advancement portfolio.
  • Represents the interests of Advancement and A&R, serving on committees, working groups and task forces with respect to A&R fundraising and engagement strategies, to enhance the image, increase visibility and ensure understanding and adoption of policies and procedures.
  • Acts as a formal mentor to Advancement staff and A&R staff, coaches, teams and volunteers.
  • Acts for the Executive Director, A&R in their absence on matters pertaining to Advancement A&R activities.
  • Undertakes other duties as assigned in support of the unit and/or department.


The Associate Director of Advancement, Athletics & Recreation also calls for:

  • University degree, preferably at the honours level.
  • Minimum five years of relevant, successful Advancement experience, with a focus on MG and LAG, campaign fundraising, engagement programs, or a related venture, preferably in a university setting.
  • Preference for a candidate who understands how sports and athletics impact the student experience, and the role of athletics and recreation in healthy communities.
  • Consideration will be given to an equivalent combination of education and experience.
  • Demonstrated success in the identification, evaluation, cultivation, stewardship and direct personal solicitation of major gifts, preferably at the $25,000 + level.
  • Experience working as part of a campaign effort, managing a portfolio of prospects.
  • Proven leadership and management experience, with a demonstrated ability to define and communicate strategy and tie portfolio activity and planning back to overarching goals and the “big picture,” and the proven ability to promote inclusion in the workplace and effectively recruit, supervise, organize, direct, motivate and retain talented staff and volunteers to achieve objectives.
  • Proven record of accomplishment in strategy development and implementation, project planning, budget and revenue forecasting, and meeting the objectives of these plans.
  • Proven successful experience in program analysis, tracking and reporting results.
  • Clear understanding of and strict adherence to ethical fundraising standards and supporting legislation.
  • Recognized professional fundraising designation (CFRE or equivalent) considered an asset.
  • A valid ‘G’ driver’s license and passport with no travel restrictions is required.
  • Satisfactory Criminal Record and Judicial Matters Check required.
  • Knowledge of the Canadian philanthropic and university environment, including the challenges faced by post-secondary institutions.
