Job Description

The ALS Society of Canada (ALS Canada) is searching for the next Manager, Database & Donor Services, to join our award-winning team. As the successful candidate, you will work in collaboration with staff across the organization to manage and oversee the customer relationship management (CRM) administration database, ensuring data integrity while providing business analysis, fundraising analytics, daily revenue reporting, gift processing and data integration across the organization. What You Will Do:
DataBase Management

  • Oversee the CRM database by maintaining user accounts, data integrity and integration with other information systems across the organization
  • Act as lead on all database updates and implementation, including chairing committees and/or project management as required
  • Lead all donor database administration and supervisory functions
  • Establish and maintain database processes, procedures and standards ensuring compliance across the organization to include: code tables, structure, and business rules, looking to maximize efficiency and accuracy
  • Review constituent appeals and event records to align with the Finance department and support Fund Development team with related questions
  • Oversee all donor services including: gift processing, manual data entry or import from external sources, maintaining a high quality of data, ensuring accurate and timely recordkeeping, tax receipt and acknowledgement letters, pledge reminders, and updated payment information
  • Produce gift reports, revenue reports, action reports, prospect reports and mailing lists
  • Support various programs and campaigns (i.e., direct mail, newsletters, digital campaigns) by creating queries, exports and reports as requested
  • Work closely with the Finance team to ensure the integrity of the information entered within the financial records are accurate and balanced to the CRM platform
  • Lead archival and retrieval of historical data as required
  • Support the Client Services team with gift in kind reports, letters, and acknowledgements
  • Review weekly reports pulled by the Data team to ensure accuracy
  • Ensure the accurate coding of all incoming fundraising revenue

Fundraising Analysis

  • Develop analytics to assess on- and off-line campaign performance and provide data insights
  • Work with the Fund Development team to mine the database, collecting, researching, and analyzing data to determine patterns and trends to identify major and monthly donor prospects
  • Improve the accuracy of the quarterly key performance indicator dashboards for fundraising
  • Support financial forecasting and projections between the Fund Development and Finance teams
  • Develop automated monthly reporting methods through the implementation of best practices
  • Work closely with the Finance team to ensure the integrity of information entered with the financial records are accurate and balances to CRM platform
  • Work in collaboration with the Financial Controller to ensure there are no discrepancies in monthly reconciliation for all accounts
  • Maintain oversight of the daily revenue report used for entry to the financial reporting system and ensure that all general ledger revenue accounts are correct
  • Produce and maintain gift, revenue, and tax receipt reports for audit purposes and support the audit process as required
  • Complete monthly upload of ETF transmissions
  • Review and identify incoming money transfers from various sources
  • Maintain back up records for all donations and ensure compliance with Canada Revenue Agency (CRA) rules and regulations; remain current on CRA rules, regulations, and updates

Customer Service

  • Provide excellent customer service to the general public regarding donation inquires and troubleshoots escalated issues
  • Monitor and respond to inquiries from the donations@als.ca inbox and phone calls and messages
  • Develop processes to ensure excellent customer service and donor stewardship, including tax receipt and thank you letter processes
  • Supervision of Data team and support of any other staff answering phones as it relates to donor services
  • Support, mentor, and coach two direct reports
  • Contribute to the growth of the Fund Development team through mentorship, sharing of fundraising best practices, event excellence
  • Provide training on CRM database to users across the organization and establish standards for data integrity and streamlining processes, including internal training modules for the new processes and procedures
  • Provide weekly forecasting metrics to assess the Data team’s performance
  • Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies

What We are Looking For:

  • Certificate or bachelor’s degree in Data Management, Business, Fundraising, Accounting, or related field
  • Minimum 5 years of previous experience in Data Management and Donor Services
  • Minimum 2 years of people management experience in a multi-level, fundraising environment
  • Proficiency with CRM software products
  • A high degree of computer literacy, as well as an ability to quickly learn and adapt to new software
  • Ability to plan and carry out database changes and upgrades and assess the overall performance
  • Strong knowledge of finance and accounting as well as related accounting / financial reporting systems
  • Strong written and verbal communications skills
  • Excellent relationship, organizational, logistical and time management skills
  • Understands and supports cross-functional teamwork and collaboration to reach common organizational and/or departmental goals
  • Demonstrated excellence in customer service skills
  • Proven ability to build relationships and meet deadlines, problem-solving skills
  • Demonstrated attention to detail and strong analytical skills
  • Organizational skills including setting priorities, developing work schedules, monitoring progress towards goals, and tracking data
