The Advancement Coordinator will take pride in seeing how administrative duties play a very key role in supporting activities in Development and Marketing & Communications teams.

About the Role:

The Advancement Coordinator supports a wide range of administrative duties in Development, and Marketing and Communications, split 75% on Development and 25% on Marketing and Communications.

Key Responsibilities:

  • Support in-person and virtual event and meeting logistics
  • Take meeting minutes; compile and distribute meeting packages and minutes
  • Act as primary source of general information for event bookings
  • Support teams with processing purchase orders, expenses, and VISA receipts
  • Digital and physical filing; archive old files and digital folder clean up
  • Support presentation and proposal creation (Word, PowerPoint, Adobe, Canva, etc.)
  • Support quarterly team updates and reports to funders
  • Assist as needed with the Capital Campaign
  • Facilitate couriering and mailing for teams; e.g. fundraising appeals, receipts and donor thank you letters
  • Check and distribute departmental mail sent to Evergreen Brick Works
  • Order office supplies
  • Work with Finance and across the organization on monthly reporting
  • Respond to and manage queries in the department’s general inbox
  • Renew annual subscriptions services (Blackbaud, Imagine Canada, AFP, Globe & Mail, National Observer, etc)
  • Execute website updates as needed
  • Seek quotes and manage invoices from merchandise orders
  • Other duties as assigned

You have the following qualifications:

  • Outstanding administrative and time management skills
  • Previous administrative experience considered an asset
  • Excellent interpersonal and customer service skills
  • Meticulous attention to detail
  • Experience with Raisers’ Edge or donor database management system an asset
  • Experience with Wrike or other project management software considered an asset, but being able to learn new apps, databases, and software is a plus.
  • Ability to work independently as well as part of a team
  • Strong verbal and written communications skills
  • Proven ability in use of MS Office and Canva to generate creative and compelling documents
  • Ability to work across different teams in an organization
  • Experience in Fundraising or Marketing an asset, but not essential

Reporting Relationships:

  • Supervised by: Director, Development 

Working Conditions:

  • Position is usually based out of Evergreen’s head office at Evergreen Brick Works in Toronto.  However, due to COVID-19 pandemic this position will mainly be working remotely and on site as needed.
  • Office environment with on the ground presence as required.
  • Regular office hours are flexible, but work may include some weekends holidays and/or evenings.

Contract:

  • Full-time, permanent
  • Target Hire Rate: $44,000 – $48,000 annually
