Advancement & Events Coordinator

Fulltime, Permanent

JOB PURPOSE

Are you passionate about driving the growth and engagement of an organization by orchestrating unforgettable events and spearheading innovative advancement initiatives? 

Reporting to the Advancement Manager, The Event and Advancement Coordinator plays a supportive role in advancing the School’s philanthropic initiatives while ensuring the seamless execution of key advancement events, and regular and consistent connection between York and the parent community.

KEY RESPONSIBILITIES

Event Coordination (60%)

  • Execute key advancement department events by coordinating logistics, such as invitations and rentals, and by acting as the on-site advancement team member in collaboration with stakeholders to ensure all events are executed smoothly
  • Identify opportunities to partner on and enhance existing events with an advancement lens to further the culture of philanthropy at York
  • Operate within budgets and provide briefs for all identified events, and notify supervisor of any anticipated budget concerns
  • Liaise with the Food Services Manager and events staff to ensure requests for catering are planned and fulfilled
  • Prepare event briefs with detailed instructions for the Facilities and Learning & Innovation (IT) Teams 
  • Liaise with the Marketing and Communications department to ensure event communication materials are timely and accurate
  • With the Advancement team, collaborate with school departments on parent engagement opportunities that span from incoming parent onboarding events through to graduation events
  • Execute a slate of creative activations throughout the year to give visibility to York’s philanthropy in action and donor appreciation, both through internal partnerships and standalone events
  • Consult and work with the Community Engagement & Events Manager to ensure that events’ procedures and standards of excellence are maintained
  • Other duties as required

Advancement (40%)

  • With the Advancement Manager, support the success of York’s Annual Fund, including the Graduating Class Bursary Campaign, to meet or surpass annual targets for revenue and participation amongst families and staff, through campaign monitoring, analysis and donor follow-up
  • Co-develop and deliver direct mail appeals for York’s annual giving programs
  • In collaboration with the Advancement Manager and Marketing & Communications department create compelling video appeals for various advancement campaigns
  • With Advancement team members, maintain an active role in strengthening York’s culture of philanthropy amongst families and staff members by providing examples of impact and the importance of community giving
  • Other duties as required

QUALIFICATIONS AND SKILLS

  • Postsecondary education in relevant field
  • 2-5 years of experience in fundraising and events planning and coordination
  • Valid Ontario driver’s license
  • An entrepreneurial and generous spirit, with customer service orientation and a demonstrated ability to collaborate with internal and external stakeholders
  • Excellent written and verbal communication skills
  • Experience in advancement writing and direct communication is considered an asset
  • Strong interpersonal skills and ability to build relationships with staff and community members
  • Exceptional organizational,  planning and execution skills
  • Demonstrates good problem-solving skills with a focus on creative resolution and continuous improvement and the ability to manage issues in a calm and solution-oriented manner
  • Has the ability to work within fast-paced environment with short deadlines and manage multiple projects and deadlines and adjust priorities accordingly
  • Has excellent proficiency with computers (Microsoft Office, Google Suite, Blackbaud products and related applications)
  • CFRE and/or PMP an asset

WORKING REQUIREMENTS

  • The York School Campuses, Toronto Ontario
  • Some early mornings, evenings, and the very occasional weekend will be required during the academic year (early September-end of June)
  • Regular local travel to event spaces, pick up and drop off of rental materials, etc.
  • Lifting  approximately 10 kg or less
