Position Overview

Without our donors, we could not do what we do. As an integral part of the Fundraising team, you are responsible for broad-based giving which includes coordinating our direct marketing program, In Memoriam/In Tribute program and general giving campaigns. You are also key to supporting our Nevada gaming program by leveraging your top-notch communication skills to liaise with a variety of vendors. Your meticulous attention to detail helps you compile and prepare reports as requested by the CEO and other members of the team.

Drawing on your strong organizational skills, you manage our donor database (Raiser’s Edge) by facilitating receipting, producing reports and working with Finance to ensure financial reporting alignment. A multi-faceted role, your helpful attitude supports the team with prospect research administration and reporting and overall department operations.

Key Accountabilities

Possessing ownership of our Direct Response Fundraising Program, you will:

  • Set revenue targets and timelines, for both e-response, hard mail and act as the point person for the direct marketing external provider
  • Integrate within the above plan and oversee all Giving Tuesday, Employer Match and Staff Giving campaign initiatives
  • Collaborate with Marketing/Communications for design and production of all materials
  • Work with suppliers to ensure all print and electronic components of the program are executed per plan
  • Coordinate list strategy and exclusions with colleagues and ensure appropriate donor lists are pulled for the program based on donor preference, analytics and program performance
  • Provide analytics on direct response performance and advise on the performance of campaigns
  • Oversee recognition and stewardship of the direct response donor group

Overseeing our In Memoriam/In Tribute Program, you will:

  • Liaise with professional associations and funeral homes in Ontario to ensure they have information about IAM for in memoriam donations
  • Promote and coordinate the In-Tribute program, responding to and fulfilling requests
  • Develop print-based materials for In Memoriam/In Tribute Program
  • Develop website content for the program in conjunction with Marketing

Managing our Fundraising Database & Reporting, we depend on you to:

  • Function as the Raiser’s Edge resource to the organization, ensuring guidelines are adhered to, database integrity is maintained and the organization is proficient in utilization of the software
  • Process donations through Raiser’s Edge/ Raiser’s Edge NXT database
  • Oversee volunteers or temporary staff conducting data input
  • Manage and input donations and information into the donor database to ensure accuracy and timeliness of entries as it relates to financial matters
  • Prepare timely receipts and acknowledgement/thank you letters for donations received, ensuring organizational fundraising policies and procedures regarding receipting are met and are within established timelines
  • Generate and pull queries, reports and related information from Raiser’s Edge NXT database
  • Ensure quality control of database through regular reviews, identifying gaps in recording with team members who have entered information on prospects, donors, granting and special events information
  • Work with Finance on reconciliation of donations and donor activity
  • Provide fundraising department reports as requested for internal and external purposes including the organization’s annual report and reports to the Board of Directors
  • Work with Marketing and Communications to facilitate set up of fundraising pages and receipt processes as well as peer to peer campaigns using the appropriate platforms

Ensure Donor Recognition & Stewardship by:

  • Participating in donor stewardship as assigned and support the Fundraising team’s efforts to build and maintain strong relationships with our donors
  • Opening, sorting and distributing donor correspondence and responding as appropriate
  • Managing targeted content for thank you letters
  • Managing individual donor lists as changes/additions occur throughout the year including the management of the e-donor lists
  • Answering donor inquiries over the phone and in person
  • Identifying first time donors and ensuring the recognition and stewardship procedures are followed by bringing to the attention of the CEO and appropriate fundraising team members in order to facilitate the donor relationship

 

 

 

Providing Operational Support to the Fundraising Department by:

  • Providing support to donor cultivation meetings which may include booking meetings, providing support to the meeting, providing information for the meeting
  • Coordinating agendas for fund development team meetings
  • Supporting the events portfolio as needed.

Other duties as assigned. 


Education and Experience

  • Bachelor’s degree and knowledge of development principles and practices, or an equivalent combination of education and experience
  • Minimum 2+ years’ experience in the fundraising/non-profit charitable sector
  • Accounting experience is considered an asset

Non-technical skills and attributes. You possess:

  • Exceptional time management and organizational skills
  • The ability to manage multiple priorities with a high degree of accuracy

  • Research and analytical skills

Technical skills. You possess:

  • Advanced proficiency in MS Office Suite (Word, Excel, PowerPoint)
  • Two years’ experience with CRM systems (Raiser’s Edge NXT preferred)
  • Experience working with a variety of databases and software

This is a full-time, permanent position with a competitive benefits package. The role is hybrid, consisting of both remote and in-office work. Minimal travel may be required. The successful candidate must be fully vaccinated by the start date.
