
Development Coordinator
We are seeking a Development Coordinator with experience in donor management to support us with operational excellence and fundraising activities. Role Summary
The Development Coordinator supports the fundraising efforts of the organization and is responsible for implementing the donor stewardship matrix, maintaining accurate donor records, managing the donor database, conducting prospect research, assisting with reporting and analysis, presentation development, coordinating meetings and fundraising activities. This position ensures operational excellence and high-quality stewardship to help advance the organization’s mission.
The Development Coordinator plays a key role in advancing Food Allergy Canada’s mission through two main areas: donor stewardship and impact reporting. The role supports donor engagement and prospecting by managing CRM data, processing donations, coordinating communications, and conducting research to build and track a robust donor pipeline. The role also supports the Development Executive.
Key Responsibilities
Donor Management
- Ensures successful implementation of Food Allergy Canada’s donor stewardship matrix
- Process and acknowledge donations promptly and accurately, including issuing charitable tax receipts
- Maintain and update donor records in the CRM/database
- Ensure data integrity through regular audits, data hygiene, and consistent entry practices
- Support stewardship activities through thank-you letters, donor reports, and engagement materials & presentations
Prospect Research & Pipeline Support
- Conduct preliminary research on prospective individual, foundation, and corporate donors
- Create and track prospect pipeline including submission dates
- Prepare donor background summaries and profiles for cultivation and solicitation
- Log engagement notes and updates in the CRM to support pipeline tracking
Fundraising Operations & Meeting Coordination
- Coordinate meetings for the Development Executive, including scheduling, agenda preparation, and presentation development
- Assist with logistics for donor meetings, small gatherings, or stewardship events
Reporting & Data Analysis
- Generate fundraising and CRM/engagement reports and dashboards
- Maintain a reporting calendar and ensure timely fulfillment of donor stewardship obligations
- Support data segmentation, list pulls, and data hygiene projects
Financial Reporting
- Support Office Manager with financial reporting & reconciliation processes and audit preparation
- Additional administrative requirements as assigned
Skills and Qualifications
- 1-3 years of experience in fundraising, nonprofit administration, or member services
- Strong organizational skills and keen attention to detail
- Process driven with a focus on continual improvement and operational efficiency
- Experience with donor databases or CRMs (e.g., Raiser’s Edge, Salesforce, DonorPerfect, Giftworks)
- Strong data entry, reporting and data hygiene skills
- Experience managing sensitive data and maintaining confidentiality
- Proficient in Microsoft Office particularly Excel and PowerPoint
- Excellent verbal and written communication skills
- Capable of managing multiple tasks and deadlines in a fast-paced environment
Assets (Not Required)
- Familiarity with Canadian charitable receipting requirements
- Experience with prospect research tools (e.g., iWave, CharityCAN, LinkedIn, Grant Connect)
- Previous experience supporting a senior fundraising professional or development team
- Knowledge of fundraising best practices and donor lifecycle
- Passion for the mission and values of Food Allergy Canada
