DONOR CARE & OFFICE ASSOCIATE
The International Fellowship of Christians and Jews of Canada (IFCJ Canada) is a leading Canadian religious charity building bridges between Christians and Jews, blessing Israel and the Jewish people around the world with humanitarian care and life-saving aid.
The IFCJ Canada office is located in downtown Toronto, Ontario at the intersection of Adelaide and York Street.
THE OPPORTUNITY
IFCJ Canada is seeking a proactive and detail-oriented individual to fill the full-time position of Donor Care & Office Associate. This role is pivotal in ensuring exceptional service to both our donors and staff, serving as a vital point of contact between the organization and its supporters.
As a key team member reporting directly to the Executive Director, the Donor Care & Office Associate is responsible for reception duties and providing essential donor and administrative support. This role plays a crucial part as the frontline representative of the organization, directly interacting with donors, the general public, and internal stakeholders.

KEY RESPONSIBILITIES
- Donor Care (50%)
- Manage and document incoming donations
- Conduct outbound donor service calls
- Generate and dispatch donor service letters, tax receipts, and other relevant correspondence
- Input and maintain accurate donor information in the CRM database
- Provide event management support for outreach and donor initiatives
- Reception (30%)
- Answer, screen and forward incoming phone calls and general emails
- Extend a warm welcome to guests upon arrival at the office
- Direct visitors to the appropriate personnel and office/meeting room
- Maintain a tidy and presentable reception area, stocked with necessary stationery and materials
- Offer basic and accurate information in-person and via phone/email
- Receive, sort, and distribute daily mail/deliveries
- Uphold office security by following safety procedures and managing access via the reception desk (monitor logbook, issue visitor badges)
- General Administration (20%)
- Procure office supplies as needed and maintain an organized inventory
- Update calendars and schedule meetings as required
- Assist with various office administrative tasks and clerical duties, including filing, photocopying, and transcription
- Act as the Health and Safety Representative, championing health and safety protocols
- Collaborate with the Executive Assistant on the implementation of imperative activities as necessary
MINIMUM QUALIFICATIONS
- Post-Secondary education in office administration or equivalent combination of education and experience
- 2+ years of related experience, preferably in a non-profit or similar setting
- Commitment to IFCJ Canada’s mission
- Experience with Raiser’s Edge, Luminate Online or similar donor database application is a plus.
- Professional attitude and appearance
- Ability to maintain a calm and positive demeanor in a fast-paced environment
- Solid oral and written communication skills
- Excellent customer-service skills
- Strong organizational skills with the ability to prioritize and manage multiple projects simultaneously
- Unquestionable integrity and discretion with confidential and sensitive information
- Sensitivity to varied cultures and religions, especially the Jewish and Christian communities
- Ability to effectively work independently with little direction
- Advanced proficiency in Microsoft Office applications (Word, Excel, Power Point, Outlook, OneNote) along with a solid grasp of internal intranet and internet usage.
- Hands-on experience with standard office equipment (e.g. computers, telephone systems and printers)
WORK ENVIRONMENT
Work is expected to be performed in a hybrid work model, requiring a minimum of four (4) in-office days per week, and 1 remote work day (5 days total). May require extended hours during peak periods and non-traditional hours to perform job duties, as well as participation and attendance at organization-sponsored events and meetings.
