Kensington Health Foundation:

The Kensington Health Foundation supports the mission, programs and services of the Kensington Health Centre, including the Kensington Hospice, the Kensington Eye Institute, the Kensington Research Institute, the Kensington Cancer Screening Centre, and the Second Mile Club.

Position Overview:

The Donor Relations Officer will assist in the development and execution of a strategy for stewarding major gift donors by identifying, building and managing a dynamic portfolio of potential donors. Working with all areas of donor engagement, the role will support implementation of appropriate cultivation, solicitation and stewardship activities.

The successful candidate will be an essential member of the team, contributing to the operation of a comprehensive donor relations program ensuring that the Kensington Health Foundation exceeds donor expectations in the ways that we acknowledge, recognize, engage and are accountable to our donors. Reporting to management, the role is responsible for supporting all phases of donor engagement. You will work with colleagues throughout the organization to ensure all supporters feel extremely positive about the impact of their generosity on patient care and have the utmost confidence in our Foundation to manage and recognize their contributions.

Responsibilities:

Donor Relations:

  • Assist in establishing pipelines of donors and prospects to support the fundraising efforts of the Foundation with intimate knowledge of donor database, understanding of past history of giving, and providing detailed donor research.
  • Assess needs and contributes to the development and implementation of plans for prospect identification, cultivation, solicitation and recognition.
  • Conducts donor prospecting and advanced research and analysis from a variety of sources to provide detailed background data on major gift donors.
  • Ensure donor stewardship touch points and activities are executed and tracked in Raiser’s Edge, as per our stewardship matrix and gift agreements.
  • Prepare regular stewardship reports.
  • Maintain all donor listings and manage donor wall updates.
  • Oversee physical naming opportunities including maintaining up-to-date inventory; identifying future possibilities; advising team members on opportunities; and, adhering to policies and procedures.
  • Update and customize standard stewardship letters and tax receipt templates.
  • Working with the Kensington Health team, compile reports on program outcomes and statistics for the purposes of donor and funder reporting.

Database & Gift Processing:

  • Responsible for oversight of the Raiser’s Edge database and online peer-to-peer fundraising systems, including maintaining donor records, ensuring data accuracy and integrity in accordance with the Foundation’s policies and procedures.
  • Process donations, generate personalized acknowledgements, and issue tax receipts in accordance with CRA guidelines.
  • Generate comprehensive reports, including revenue reports, fundraising metrics and donor lists.
  • Generate mailing lists for all direct mail activities and other event or marketing communications, including the Holiday and Spring campaigns.
  • Execute follow-up activities for In-Memory and Tribute donors.
  • Maintain administrative systems and adhere to filing protocols without exception.
  • Remain knowledgeable about the Personal Information Protection and Electronic Documents Act, Canada’s Anti-Spam Legislation, and other legislative requirements, and ensure compliance in the distribution of materials.

General:

  • Write and coordinate communications to donors on behalf of the Foundation, including personal notes, acknowledgements, receipts, tribute and holiday cards, welcome packages, and impact correspondence.
  • Write tailored thank you letters and pledge reminder letters; prepare a range of thank you and acknowledgement letters, including correspondence from the office of the Foundation CEO.
  • Acts as the first point of contact for donors building and maintaining excellent relationships via phone, website, email and social media.
  • Coordinate and execute print and electronic stewardship communications.
  • Assist with the writing of content for marketing and communications materials.
  • Provide support for execution of events.
  • Perform other duties as assigned or requested.

Required Knowledge and Experience:

  • A minimum of 3 years of experience in a professional fundraising organization; experience directly in a healthcare or hospital foundation environment preferred.
  • Experience working with volunteer committees is required, demonstrated ability to engage, inspire and train volunteers/community leaders.
  • Experience building donor relationships.
  • Intermediate level experience with Raiser’s Edge.
  • Advanced level of proficiency in MS Office including Word, Excel and PowerPoint.
  • Working knowledge of Adobe products a strong asset.
  • Experience in coordinating video production, social media, and/or graphic design an asset.
  • Experience in writing for senior leadership.
  • Knowledge of social media platforms considered an asset.

Required Professional Designation/Certificate:

  • Post-secondary degree or equivalent combination of education and experience.

  • Enhanced cleaning of high touch areas.
  • Cohorting staff.
  • Audits- universal masking, donning, and doffing, 4 moments of hand hygiene.
  • Infection control training.
  • Staff who are ill, who come in contact with an ill person, or travelled, are not permitted to report for work and must isolate until cleared by Occupational Health or Toronto Public Health.
  • Any positive staff or resident cases are reported to Toronto Public Health who directs on interventions that we must be implemented.
