SUMMARY OF FUNCTIONS  

This position, reporting to the Executive Director, CVC Foundation, is responsible for leading the Grant Management Program of the Credit Valley Conservation Foundation (CVCF). Key responsibilities include conducting grant research, preparing proposals and reports, and managing a portfolio of grants that contribute to annual revenue targets. The role also provides essential administrative and relationship data management support to the CVCF team, helping to advance the Foundation’s fundraising and program goals.

 

ELIGIBILITY REQUIREMENTS 

  • Post-Secondary degree or diploma in a related educational field (e.g. Non-Profit Management, Digital Fundraising)
  • A minimum of three years of progressive experience in grant research, writing, reporting, and fund development within the non-profit sector, with a demonstrated track record of successfully securing grant funding to support programs and initiatives.

Knowledge, Skills and Ability

  • Advanced knowledge of grant funding policies, procedures, and reporting requirements, with a strong understanding of provincial, federal, and community funding sources and mechanisms—especially within Ontario
  • Demonstrated success in developing, writing, and producing compelling grant proposals and related fundraising materials
  • Personal experience with awarding grants, offering valuable insight into both sides of the grant-making process
  • Exceptional verbal and written communication skills, with the ability to communicate persuasively and professionally across diverse audiences, including in grant proposals and donor communications
  • Strong understanding of the non-profit and philanthropic sectors, with the ability to engage and maintain relationships with donors, funders, and stakeholders
  • Excellent planning, organizational, and time management skills, with acute attention to detail and the ability to manage competing priorities in fast-paced environments
  • Proficient in Microsoft Office applications and database management systems, with the ability to extract, analyze, and present data to monitor progress and inform decision-making
  • Skilled in analyzing and interpreting financial data, preparing project budgets, and managing grant-related financial reporting
  • Sound judgment and the ability to make administrative and procedural decisions independently
  • Experience in strategic communications planning, including donor recognition and stewardship initiatives
  • Proven interpersonal skills and ability to work effectively both independently and within a collaborative team environment
  • Energetic, confident communicator and active listener who seeks clarification, responds thoughtfully, and contributes meaningfully to team discussions
  • Creative problem-solver with strong conflict resolution abilities and a self-starter mindset
  • Valid class ‘G’ Ontario Driver’s license in good standing

 

SUMMARY OF MAJOR TASKS

Grants Management

  • Conducts and facilitates the research and identification of funding prospects and opportunities.
  • Coordinates the planning and preparation of all grant proposals for CVCF / CVC.
  • Serves as a liaison between CVCF staff, CVC staff and granting agencies in the preparation of grant proposals and reports.
  • Coordinates and compiles all components of each grant submission, ensuring that the proposal is formatted, packaged, and submitted in accordance with granting agency requirements.
  • Advises and/or assists CVC staff as appropriate in the formatting and preparation of grant documentation ensuring that the development of grant proposals are effective.
  • Responsible for communicating to CVC staff by providing advice and guidance to them on the application of grant funding policies, regulations, and procedures.

Program Administration

  • Takes the lead to maintain updated Relationship Information in Donor Perfect, related databases and systems for recording and tracking grant proposals, awards, and related statistical information.
  • Creates and distributes grant reports, summaries, and analyses, as required.
  • Develops and maintains a library of reference documentation to support grant proposals.
  • Oversees and coordinates the administration of post-award grants to ensure full compliance with budgeting guidelines, administrative policies, and funding agency requirements; proactively manages any administrative challenges, budget adjustments, or recognition obligations that arise throughout the grant period.

Administrative and Data Management

  • Provides administrative and data management support for CVC Foundation.
  • Prepares financial records and allocation in accordance to the finance division’s requirements
  • Supports CVCF’s special donor events, including the fundraising Gala
  • Other duties and projects as appropriate to the position.
