The Major Gifts & Planned Giving Coordinator is a key member of the Foundation team and plays an integral role in advancing Bowmanville Hospital Foundations mission to enhance donor relationships to fund hospital projects and equipment not supported by the government, and vision to inspire exceptional giving through a legacy of philanthropy.

Working with the Major Gifts team, this position will support key fundraising activity and be responsible for generating fundraising revenue, identifying potential sources of funding, developing and executing cultivation and solicitation strategies for current and potential donors with a focus on major giving and planned giving.

The Major Gifts & Planned Giving Coordinator will work with the Campaign Cabinet, Prospect Review Committee, Planned Giving Committee, and Family Campaign Committee, under the supervision of the Manager of Major Gifts & Planned Giving, to develop personal relationships with volunteers, prospects and donors. The Coordinator is responsible for initiating discussions and following up with individuals who are interested in major gift and planned giving opportunities with the Foundation.

With the current We Care, We Can Campaign for the expansion and redevelopment of the Bowmanville Hospital top of mind, key to the success of the Major Gift & Planned Giving Coordinator position is the ability to develop and maintain strong relationships with donors and prospects while sharing our case for support in your conversations and activities.

Major Gifts (60%)

  • Work with the Manager of Major Gifts & Planned Giving to develop and execute annual and multi-year pledge and campaign strategies for major gifts;
  • Create monthly reports as required by management that accurately reflect Major Gift donors and activity;
  • Coordinate cultivation and solicitation events for identified relationships including both individual meetings and group events;
  • Help prepare and write fundraising materials including proposals, briefing notes, stewardship reports and other correspondence to support fundraising efforts to enable the Chief Executive Officer, Chief Development Officer, Manager of Major Gifts & Planned Giving and key volunteers to cultivate and solicit major and planned gift relationships;
  • Coordinate personalized stewardship activities for the Foundation’s most generous donors in conjunction with the Development staff;
  • Coordinate strategic communications from leadership to major gift relationships and donors;
  • Document moves management in our donor relations management system (Raisers Edge), and reflect all fundraising activity including call outcomes, actions, notes, relationship connections etc.;
  • Ensure donor strategy process and calendar is streamlined and up to date;
  • Support the Foundation’s major gift (campaign cabinet), prospect review committee and family campaign committee by scheduling quarterly calls and meetings, providing administrative support to those meetings, and performing other duties that enhance the success of the major gift program;
  • Attend cultivation and solicitation meetings as requested by the Chief Executive Officer, Chief Development Officer, and Manager of Major Gifts & Planned Giving and volunteers;
  • Meet assigned fundraising targets and assist in volunteer recruitment;
  • Deliver exceptional customer service and support to key internal and external stakeholders and stakeholder groups;
  • Assist in other duties and special projects as required in furthering the goals of the Major Gifts team and the Foundation.

Planned Giving (40%)

  • Work collaboratively with the Manager of Major Gifts & Planned Giving, Foundation team and the Planned Giving Committee to design and implement a Planned Giving/Legacy plan;
  • Identify, cultivate, and support the solicitation of planned giving prospects and donors to the Foundation;
  • Assist in building relationships with all planned giving donors and prospects in person, over the phone and email and via written correspondence.
  • In collaboration with the Manager of Major Gifts & Planned Giving, create a planned giving marketing plan to cultivate and steward ongoing donors and planned giving prospects;
  • Maintain the Foundations J. W. Alexander Starlight Society (recognition society for Planned Giving donors);
  • Oversee the administration of estate files for the Foundation, including communication with executors and lawyers;
  • In collaboration with the Development team, create and host planned giving cultivation and stewardship events to maintain ongoing relationships with donors who have made planned gifts to the Foundation;
  • In collaboration with the Development team, oversee the implementation of an annual planned giving marketing strategy, including print advertising, social media content, direct response and online marketing. Ensure marketing strategy is aligned with the national CAGP Will Power program;
  • In collaboration with the Development team, create appropriate marketing materials to cultivate relationships with allied or estate planning professionals, maintain professional advisor list and promote the opportunity of giving;

Other Duties:

  • Performs other duties such as:
  • Assist with special projects, events and other office functions;
  • Always use safe work practices and report building/equipment problems etc. to manager in a timely basis;
  • Assist in volunteer recruitment;
  • Other duties and tasks as assigned to enhance the Foundations fundraising strategy.

Qualifications Required to Perform at Full Working Level:

  • Bachelor’s degree or college diploma in the area of fundraising, marketing, corporate communications, business development, sales, or equivalent combination of education and experience;
  • 2-3 years related experience in a similar fundraising capacity is an asset;
  • Exemplary organizational skills, including the ability to handle multiple tasks, meet deadlines and prioritize assignments;
  • Excellent writing, research, communication and presentation skills – virtual and in person;
  • Self-starter who is motivated to learn and grow;
  • Impeccable attention to detail and strong program management skills;
  • Professional, positive, and approachable attitude and the ability to effectively work and communicate with a diverse group of people including Board members, donors, volunteers, the public and staff;
  • Ability to work independently and as part of a team;
  • Solid knowledge of MS Office — Word, Excel, PowerPoint and Outlook;
  • Ability to speak effectively before groups;
  • Ability to use discretion and diplomacy in dealing with donors, Board members, and colleagues and in handling confidential information;
  • Demonstrated awareness and sensitivity to the needs and concerns of individuals from diverse cultures, background and orientations;
  • Ability to manage multiple projects at a time;
  • Knowledge of a constituent relationship management (CRM) system or donor database (Raiser’s Edge is preferred);
  • Driver’s license and access to a vehicle preferred.

Working Conditions:

  • Work is performed in a typical office environment;
  • Must be able to lift up to 30lbs occasionally;
  • Some local travel is required for events and meetings;
  • Some weekend and evening work is required, related to Foundation events;
  • Proof of full COVID-19 vaccination and maintenance of the same is also a condition of employment. Accommodations will be made as required by the Ontario Human Rights Code.

ABOUT BOWMANVILLE HOSPITAL FOUNDATION

We are the fundraising arm of Bowmanville Hospital. Our mission is to “Enhance donor relationships to fund hospital projects and equipment not supported by the government.” To meet the planned transformation of our hospital, the Foundation has embarked on the largest capital and fundraising campaign in its history. To give it the focus and momentum that this critical endeavor requires, the Foundation launched the “We Care, We Can – Investing in Our Health Care” campaign to inspire the community to help support capital improvements and essential medical equipment needs for the Bowmanville Hospital.   • Phase One: To raise the community share of the estimated capital costs of the hospital redevelopment and expansion project; and
  • Phase Two: Establish robust annual fundraising program after the capital campaign is complete.
