We are seeking exceptional candidates to fill the position of:
Research & Database Co-ordinator
Summary of Position:
Reporting to the Manager, Advancement Services, the Research and Database Co-ordinator manages key information and database functions in the Advancement department in support of the school’s annual fundraising goals. The Co-ordinator will develop and maintain a robust pipeline of well-researched prospects, and is responsible for ensuring the integrity of the constituent and gift data housed in Raiser’s Edge. The Co-ordinator will analyze data and provide critical support for the effective formation and execution of annual fundraising strategies and reporting metrics. The Co-ordinator works in a procedural, consensus-building manner with the BSS community in keeping with the school’s vision, mission and values.
Duties and Responsibilities:
Prospect Research & Pipeline Development
● Ensure pipeline and portfolios are robust and contain strong viable prospects and are supported by a continual flow of newly identified and effectively rated prospective donors
● Together with the Manager, Advancement Services, design, develop and implement policies,
procedures and system for effective moves management of donors
● Ensure research deliverables are provided in a timely manner to fundraising teams to support
fundraising & engagement activities
● Conducts regular review and analysis of data to assess annual or major giving potential of various constituent groups and prospect identification


Database Management
● Supports the Manager, Advancement Services with database administration and maintenance
including designing and implementing protocols and training staff
● Creates reports and dashboards needed by fundraisers and executive leadership team to manage their portfolios and track progress against revenue and activity goals
● Assists with creating and monitoring systems for gift processing, working cross-functionally with
Finance and fundraising colleagues
● Manages gift entry and processing work (including acknowledgment letters, tax receipts and
reconciliation of bank deposits with Raiser’s Edge) to ensure it is accurate and timely, working
with a third party and/or producing in-house when necessary
● Produces and circulates 3-Month Pledge Report and the Stewardship Tracker as needed
● Creates and distributes pledge reminders as appropriate
● Updates weekly Gift and Stewardship Tracker for review by Stewardship and Development team
● Handles bank deposits, as needed

Fundraising & Engagement Support
● Works collaboratively with the Director of Annual Giving and the Manager, Advancement
Services to develop data segmentation reports and mailing lists for phone, direct mail, and
web/digital/online giving channels
● Prepares requested queries and data pulls (e.g., class lists, event invites, volunteer lists)
● Updates Events and Engagement Metrics for prospect cultivation
● With the Director, Annual Giving, manages appeal code reporting and constituent-based
reporting and coordinates data and technology requirements for digital appeals

Data Analytics
● Utilizes data and reporting information to strategically enhance annual fundraising and marketing efforts
● Analyzes donor trends, including average gift, repeat giving, designation rates, and affinity group giving to inform fundraising strategy

General
● Embeds diversity, equity, inclusion, and belonging values into all activities
● Commits to the Staff Growth and Evaluation Process
● Other related responsibilities as assigned

Skills, Experience and Attributes Include:
● Bachelor’s degree or community college diploma
● A minimum of three years’ experience in a relational database environment; Raiser’s Edge
experience required
● Experience in prospect research and moves management process
● Familiarity with the Volunteer and Prospect Modules in RE a plus
● Successful experience in developing, directing and managing multiple projects and implementing strategic program goals
● Familiarity with relational databases and ability to design reports from databases
● Demonstrated ability to use advanced computer functions
● Demonstrated advanced knowledge of MS Office esp. Excel and Google Suite
● Demonstrated experience monitoring data interfaces, data transfer and data manipulation
● Ability to proactively explore alternate approaches, identify problems, and seek solutions
● Demonstrates data validation, importing, and exporting of data
● Ability to work independently as well as within a team environment
● Ability to handle multiple priorities and meet deadlines with flexibility and good humor
● Ability to maintain confidentiality and exercise considerable judgment, tact, and discretion while
working with sensitive and confidential information
● Exceptional organizational skills with the demonstrated ability to handle a high volume of work,
changing priorities and competing deadlines
● Strong interpersonal skills
