Indspire is seeking a Senior Development Assistant to meet the current and future growth within the Development department as well as provide executive level support to the Vice President and Development team, including to department committees. The Senior Development Assistant will support annual fundraising events as well as anticipate and respond to the needs and priorities of the Vice President with a high degree of initiative and discretion in all undertakings of a strategic or sensitive nature.

Key Responsibilities

  • Provide executive support and advice on key initiatives, including the provision of briefing notes, analysis of complex information and distillation of issues for the Vice President’s review and decision.
  • Maintain awareness and understanding of Indspire’s and the departments goals, plans and activities in order to anticipate the needs and priorities of the Vice President.
  • Manage and coordinate workload priorities to support the Vice President on strategic initiatives.
  • Manage, prioritize and/or redirect inquiries and determine appropriate action in response to requests from a wide range of stakeholders.
  • Support the Vice President in facilitating fundraising efforts with Board members.
  • Maintain relationships nationally with organizations, prospects and sponsors;
  • Attend meetings and conferences on behalf of the Vice President, as appropriate;
  • Process expense reports, credit card reconciliations, mail, couriers, shipping promotional materials and other administrative/office coordination duties, as directed
  • Review and prepare materials for Vice President’s various commitments, in advance of meetings.
  • Coordinate and organize distribution of materials, information and mailing lists, based on established distribution plans, and support stewardship activities.
  • Prepare agenda, minutes and follow-up on action items, including weekly sales meetings;
  • Manage Vice President’s schedule, appointments, and activities, including arranging meetings and business travel.
  • Research and prepare materials for the Vice President in advance of meetings.
  • Prepare correspondence, including letters, briefing notes and related matters for the Vice President’s signature.
  • Maintain and ensure the confidentiality and security of relevant Vice President and committee electronic and paper files; including agendas, minutes, materials and reports.
  • Work with the CEO and COO’s office to prepare materials related to donor/sponsor meetings and reports.

  • Monitor and report on fundraising and charitable sector trends as well as bring forward information that may impact Indspire’s fundraising activities.
  • Handle special projects.

Qualifications

 

  • Completion of post secondary education in business administration or equivalent demonstrated experience.
  • Progressive experience, usually demonstrated through at least 5 years’ in providing support to a Senior Executive within the charitable, non-profit or government sector.
  • Knowledge of and experience in Indigenous communities strongly preferred and/or openness to learning, including cultural competency training.
  • Demonstrated ability to provide administrative support to volunteer Committees.
  • Proven organizational skills to ensure issues are managed within specified timeframes.
  • Demonstrated ability to exercise discretion, judgement, and a high level of professionalism.
  • Highly developed communication skills, both written and oral along with strong attention to detail.
  • Effective customer service skills and ability to interact with a variety of people.
  • Demonstrates sound problem solving and analytical skills.
  • Ability to work and make decisions independently ability to prioritize and deal with multiple projects and changing deadlines.
  • Proven skills with a variety of software packages; Microsoft Office (Word, Excel, and Power Point).
  • Experience with databases, specifically Raiser’s Edge.
  • Demonstrates knowledge of office equipment, systems and procedures.
  • Ability to work confidentially with sensitive information.
  • Travel between Six Nations and Toronto offices is required.
  • Must be able to work occasional evening and weekends and possess a willingness to travel within Canada.
