POSITION OBJECTIVE
With the return of all three of our signature events in a single year (Heart of Fashion, Masters Golf and Rally in the Ravine) and planning for a cycling event to launch in 2023, the events portfolio is a critical component of our revenue success. Reporting to the Director of Development and with the support of the Events Coordinator, the Senior Events Officer will project manage the planning and execution of our signature events and oversee logistics. The Senior Events Officer will be responsible for building, managing, and soliciting their own prospect pool and supporting the event volunteer committees.
KEY RESPONSIBILITIES
Logistics and Administration
- Create and project manage event critical paths
- Supported by the MARCOM team, manage initiatives to market and promote events in the community
- Supported by the Donor Experience team, coordinate the creation and dissemination of all annual/impact and stewardship reports for all event donors/sponsors
- Working with the Events Coordinator, create sponsorship material for solicitations and briefing notes for staff and volunteers.
- Working with the Events Coordinator, oversee impact reports and thank you letters for sponsors, donors and participants with the support of donor experience and marketing and communications.
- Provide logistical support for signature events.
Sponsorship and Fundraising
- Manage (cultivate, solicit, steward) a portfolio of individual and corporate event donors/ sponsors and proactively prospect for new event partners
- Secure gift-in-kind donations to reduce event costs and enhance day of fundraising (e.g. auction items)
- Oversee adherence to all donor/sponsorship benefits, recognition pre, during and post event(s)
Volunteer Management
- Recruitment and orientation of event committee volunteers across demographics
- Support of event committee volunteers including material and action tracking
- Working with the Director of Development, ensure active engagement of volunteers to maintain and increase retention
Other
- Drive the research for new events as required to supplement or replace existing events depending on marketplace trends, ROI, etc.
- Contribute to the annual business plan and budget through the development of strategies, tactics, and metrics to support organizational goals.
- Offer support for other Foundation non-revenue generating events, donor recognition and third-party events.
- Other duties as assigned.
QUALIFICATIONS
- College or university degree and/or post graduate event management certification or equivalent combination of education and work experience in related area.
- 5+ years demonstrated success in all elements of special event planning and execution.
- Experience with $1M+ high end events and planning and executing prestigious golf tournaments an asset.
- Highly demonstrated ability to interact in the utmost professional manner with leadership volunteers, hospital staff, consultants, and vendors.
- Excellent organizational interpersonal and communication skills, written and verbal.
- Experience with a leading CRM program a must, with preference for Raiser’s Edge.
- Strong analytic and problem-solving skills and the ability to meet deadlines.
- Ability to think strategically and work independently within a multi-disciplinary team.
- Strong command of Microsoft Software (Word, Excel, PowerPoint, etc.).
