Supervisor, Donation Processing Centre
Overview:
The ShareLife & Development Office is seeking a full time Supervisor, Donation Processing Centre to supervise and oversee the donation processing centre of the Archdiocese of Toronto. The Supervisor is responsible for the oversight of the processing of donations made to ShareLife, the archdiocese and the various related entities, including but not limited to special collections, humanitarian relief, gifts of securities and tribute gifts. The Supervisor will be responsible for the deposit of funds; production of various reports for internal use, parishes and related entities; and reconciliation with the accounting department for funds received. The Supervisor will also respond to donor inquires escalated from the donation processing team.
Responsibilities:
- Supervisor of a team of four staff responsible for the processing of donations to ShareLife, the archdiocese, and related charitable entities.
- Oversight for and duties include the following:

- Responsible for data integrity through continuous improvement of data quality.
- Supervisor of all data entry procedures.
- Work with the Parish Campaign Administrator to generate files for mailings for the annual ShareLife appeal.
- Deposit funds received using the cheque scanner (and deposit to the bank when necessary.)
- Confirm information for funds received through electronic giving (credit card, bank run, on-line banking.)
- Data entry for funds received into the archdiocesan database (MCRM.)
- Produce receipts for donations made to ShareLife, the archdiocese, and the Family of Faith Campaign.
- Create reports for deposits made and funds received for ShareLife, the archdiocese, Family of Faith campaign. The reports are produced for internal ShareLife department, accounting department, parishes, external entities, and auditors as required.
- Create requirements for custom reports for the ShareLife and Development team.
- Process the monthly pre-authorized giving file for the archdiocese; produce related reports for this function.
- Answer donor inquiries re: funds received, balance of pledges, tax receipt inquires.
- Follow up with donors re: expired or rejected credit cards.
- Reconciliation of payments received through credit card, bank run donation, and web payment donations.
- Primary point of contact – telephone and e-mail inquiries related to donation processing.
- Compile information needed for audits.
- Other duties related to donation processing as required
General Requirements:
- College diploma or university degree.
- Three to five years experience in a donation processing role.
- Supervisory experience in a donation processing setting is an asset.
- Knowledge of fundraising and data analytics.
- Strong understanding of data administration and management functions.
- Experience with Microsoft Dynamics an asset.
- Excellent verbal and written communications skills.
- Ability to work with minimum supervision.
- Ability to work independently and as part of a team.
- Computer literacy: MS Word (merge and sort experience), experience with organizational databases, web and e-mail skills.
- Knowledge of parish and Archdiocesan structures an asset
