 Position Overview

The Campaign Coordinator provides the highest standard of proactive, effective and measurable program administrative support to the Campaign & Transformational Giving team. They will support the activity of their team members and apply exceptional organizational and database management skills to provide administrative support to the development, execution and implementation of campaign fundraising strategies, campaign reporting, and the volunteer Campaign Cabinet. They will assist their team by scheduling meetings, performing data entry, preparing meeting materials, and other duties as required. The Coordinator will demonstrate exceptional client service in managing requests and inquiries from multiple stakeholders including Foundation & Hospital executives and campaign volunteers.

Key Duties and Responsibilities

Team Support

  • Assist Manager, Campaign and Executive Director, Campaign & Transformational Giving with effective day-to-day administration including but not limited to scheduling meetings, drafting and compiling meeting materials, data entry, and reviewing campaign reports
  • Coordinate and execute meeting logistics such as meeting rooms, catering, and A/V support; preparing meeting materials including briefing notes, presentations, and reports as required
  • Coordinate and manage campaign events and tours
  • Develop, operationalize, and maintain team processes for working with other teams across  the Foundation
  • Represent team on Foundation projects and committees as assigned
  • Provide administrative support to the fundraising activities of the Campaign Cabinet, including drafting and compiling meeting agendas and materials, taking and distributing meeting minutes, coordinating follow-up actions, and maintaining ongoing reporting of Campaign metrics to Cabinet volunteer
  • Assist with campaign cultivation, stewardship and public events through the completion of project briefs, identification and development of invitation lists, drafting and prompting of follow-up strategies, and assisting with overall event logistics.

Data Management

  • Develop and maintain a deep understanding and expertise in the use of the Foundation’s donor database in Raiser’s Edge and corporate intranet Digital Edge
  • Perform all data-entry, coding, uploading and filing and information management pertaining to the activities of campaign cabinet
  • Regularly monitor campaign reports to ensure accuracy of pipeline and metrics
  • Support the creation and ongoing development of the campaign gift chart and prospect pipelines, including tracking of campaign prospects and gifts secured, and maintaining prospect and pipeline reports to support campaign forecasting

Donor and Volunteer Support

  • Assist in organizing, coordinating and managing campaign cabinet meetings and campaign cabinet events
  • Facilitate and track the Campaign Volunteer onboarding process
  • Support the execution and tracking of a Campaign Cabinet communications and engagement journey, including regular email communications, stewardship touchpoints, and events

Qualifications and Competencies

  • College or university degree or equivalent experience
  • 2 – 5 years of related work experience preferred
  • A positive and confident team player who is collaborative, conscientious, driven to support colleagues and motivated to achieve results
  • Strong interpersonal skills with the ability to build relationships and maintain professionalism while providing excellent client service
  • Works well within a fast-paced environment and under a collaborative team structure.
  • Embraces change and looks for opportunities for continuous improvement
  • Exceptional administrative and project management skills, with proven ability to set priorities and meet deadlines with minimal supervision
  • Excellent oral and written communication skills including proofreading experience
  • Demonstrates professional maturity and independent judgement
  • Detail oriented with a high degree of accuracy
  • Highly organized and flexible with the ability to manage multiple priorities, tasks and relationships in a fast-paced professional environment
  • Proven ability to plan and coordinate a full range of informal and formal, small and large meetings and events
  • Proven ability to handle sensitive and confidential situations, demonstrate poise, tact and diplomacy when working with executive leaders and volunteers
  • Advanced knowledge of Microsoft Office software suite including Outlook or similar scheduling software
  • Volunteer or Campaign related previous experience is an asset
  • Knowledge of Raiser’s Edge and In Design are assets

Total Rewards Package

The hiring range for this position is $50,000 – $58,000 per year. The salary will be determined based on the successful candidate’s years of experience, qualifications and competencies that are relevant to this position.
