Planned Parenthood Toronto is a fully accredited community health centre that provides primary health care services to youth 13 to 29 years as well as health promotion programming, education, training and research to improve the health and well-being of Toronto’s diverse communities. We are currently seeking a Development Coordinator. This is a re-designed position to support our growing development and communications programs at PPT

POSITION OVERVIEW

The Development Coordinator plays a key role in the Development office (Fundraising), and admin support for PPT’s Communication program. This role will ensure the efficient operations of the Development Department by overseeing day to day operations, and supporting the growth of the fundraising and communications program at Planned Parenthood Toronto. PPT’s Development Department strives to centre Community Centric fundraising values and this role will play an integral part in ensuring our fundraising practices align with CCF values.

Role Breakdown:

25% Donor Relations
50% Development Admin Support
25% Communications Admin Support

RESPONSIBILITIES

Development:

  • Maintain and manage the donor database Bloomerang and the prospect pipeline; on-going data hygiene.
  • Provide research and production support of reports as required for Director of Development.
  • Responsible for maintaining and implementing procedure manual and policies regarding fundraising database.
  • Participate in the fundraising, planning, implementation, and staffing of cultivation, stewardship, and fundraising events.
  • Support the Annual Fund program in all data needs, prospect research.
  • Support in maintaining donor pipelines.
  • Works in collaboration with the Director of Development to innovate workflow procedures and organize operations and procedures for the fundraising department, including development of manuals, guides, and best practices.
  • Responsible for managing fundraising filing systems, including detailed donor files.
  • Verify and ensure that donor agreements are respected and tracked with in donor database.

Donor Relations

  • Ability to work as the one the first point of contacts for supporters.
  • Coordinate and manage monthly donor program, including stewardship, upgrade opportunities extra.
  • Support Director of Development to coordinate, schedule and monitor stewardship activities and growing stewardship program.
  • Support Third party fundraising program.

Communication Admin Support

  • Support Manager of Strategic Communications in the deployment and maintenance of communication activities and tools.
  • Support in mailing lists and email list hygiene.
  • Support Manager of Strategic Communications in coordination in stakeholder meeting and events.

 

 

Other Responsibilities:

  • Act in accordance with PPT’s Vision, Mission, Equity Vision, Values and Principles, and Policies and Procedures
  • Work in alignment with the agency’s strategic plan
  • Demonstrate openness and responsiveness to emerging client and community needs as identified by the agency
  • As it relates to your position fulfill responsibilities outlined by the agency’s funders
  • Attend the agency’s Annual General Meeting
  • Participate at staff and team meetings and other activities/meetings related to the agency, as requested
  • Work in support of the agency’s commitment to be at the forefront in the utilization of technology to offer innovative programming and services
  • Participate in the orientation and training of new staff as requested by Executive Director or their Manager
  • Actively participates in agency’s accreditation process as directed by the Executive Director
  • Contribute to a culture of philanthropy at the agency that may include participating in fundraising initiatives and/or acting as ambassadors for the agency
  • Available to work some evenings and weekends as required
  • Other duties related to the role or based on agency need, as required

Qualifications:

  • Ability to work with an intersectional feminist, anti-carceral, anti-racist and anti-oppressive lens.
  • High degree of confidentiality and discretion.
  • Minimum 3 years of success working in fast paced administrative, or fundraising role with data base coordination.
  • Excellent customer service attitude and skills. Front facing donor experience is an asset.
  • Strong work ethic with ability and skills to handle multiple priorities and projects simultaneously and meet established deadlines.
  • Excellent organizational skills with ability to prioritize.
  • Extremely detail oriented.
  • Positive, enthusiastic, and committed team player.
  • Very skilled in working with database programs and finance software, fundraising database experience required.
  • Demonstrated high degree of initiative, judgement, and problem-solving ability.
  • Advanced computer skills, including knowledge of accounting software and proficiency with Microsoft office.
  • Availability to work flexible hours as needed for meetings and events outside routine office hours, including evenings and weekends.
  • Excellent professional and empathetic communication skills, as well as strong problem-solving skills.
  • Ability to work independently as well as part of a strong dynamic team.
  • Strong work ethic with ability and skills to handle multiple priorities and projects simultaneously and meet established deadlines.
