
Grants Manager
The Larry & Judy Tanenbaum Family Foundation (“LJTFF”) is a distinguished leader among private family philanthropies across Canada.
POSITION SUMMARY
The Grants Manager is an integral member of the Foundation team. The Grants Manager will design, document, implement, and refine the LJTFF’s grants management processes, practices, and systems. As well, this position will advise leadership on all aspects of grant management, and ensure specific goals, plans, and initiatives are executed/delivered in support of LJTFF objectives and in compliance with regulations, internal policies, and procedures. This position reports to the President.
KEY RESPONSIBILITIES
GRANT & RELATIONSHIP MANAGEMENT
- Work with applicants, grant recipients, partners, and the LJTFF team to design, document, implement, and refine grant-making policies, approval processes, workflow, and systems.
- Manage charitable relationships from inception to activation and/or exit, including embedding accountability measures.
- Manage existing grantees and continually evaluate impact and effectiveness, making recommendations relating to funding adjustments for grant-holders.
- Evaluate Letters of Intent, funding proposals and conduct due diligence, including interviews, site visits, and review of budgets and financial information.
- Participate in strategic planning, including researching and keeping abreast of sector trends, exemplary programs, and best practices in the Foundation’s major program areas.
- Input (into Foundant Granting Software) and analyze LJTFF’s grant-making history.
- Represent LJTFF at events as needed and/or prepare LJTFF representative with briefing document.
OPERATIONS & GOVERNANCE
- Work with the President to ensure donation commitments are maintained within the fiscal wherewithal of the LJTFF and the minimum donation requirements of the CRA.
- Manage the day-to-day operations of the LJTFF, including overseeing grant administration and ensuring compliance with all policies as well as legal and contractual obligations.
- Contribute to annual forecasting and budget planning process and adhere to the budget mandate.
ADMINISTRATION
- Collaborate with LJTFF team to prepare Board materials, annual reports, and other communication materials as necessary. As well, record approvals and action items at Board Meetings.
- Develop and manage LJTFF calendars, timelines, and deadlines.
- Maintain website, ensuring content is updated regularly, including blog posts and granting lists.
- Coordinate grant-making processes/tasks between grantee, finance, and legal departments to ensure smooth implementation.
- Work with the LJTFF team to centralize all data (including past giving, monthly reporting, and financial statements) using grant management software.
- Other duties as assigned.
QUALIFICATIONS/REQUIRSMENTS
- Bachelor’s degree in a relevant field
- Minimum of 5 years of professional work experience in philanthropy and/or nonprofit sector, including prior grants management, project management, strategic planning, and budget management experience
- Success working across the full cycle of award management and implementation
- Effective multi-tasker
- Highly motivated self-starter
- Attention to details, analytical skills
- Excellent communication skills, both written and oral
- Have knowledge of the Jewish community and Israel
